Introduction

First, thank you for your interest in HealthGuys Services referred to in this document as HealthGuys, we, us, or our. This Privacy Policy, referred to in this document as Policy, applies to all websites owned and operated by Health Reform Team, and all other websites where we provide this document as the applicable Privacy Policy, along with any related networks, as well as insurance agent and representative services. The policy also applies to all communication channels including online chat and telephone call centers, as well as all other services provided by us.

You can read about our dedication to your privacy with this Policy. It describes how we collect, use, share and secure the personal information you provide us with. It also describes your choices regarding use, access and correction of your personal information.

At HealthGuys, we are actively dedicated to protecting your privacy. In providing services as your licensed insurance agent, we will ask that you provide us with personal information about you and your family where applicable. We use your personal information to help you discover and, if you decide to do so, apply for health insurance and other products that may be of interest to you and your family. We only use and disclose your personal information in accordance with our Policy. Additionally, we use trusted technologies to protect and maintain the security and confidentiality of the information you provide us. The information referred to in this policy encompasses details that can identify you as a specific individual, such as but not limited to your name, phone number, email address, and other personal identifiers.

Personal information also includes any information about your health or medical history that you may provide us in a health insurance application or any financial or other sensitive personal information that you may provide us in the application process. If you provide information directly to a third party, then your information would be governed by that other party’s privacy policy.

When and why we share personal information

We do not disclose your personal information to third parties, unless one of the following limited exceptions applies.

Insurance Companies, Licensed Agents and Business Affiliates, and Government-run Exchanges/Entities

If you apply for an insurance product offered by us, then we will disclose your personal information to your chosen insurance company to process the application. If you submit a request for information or an application for an insurance product offered through an insurance agent or other business partner with whom we associate, then we may disclose your personal information to that agent, agency or business partner to process your request for information or application. If you complete an application with us that is processed through a government-run exchange or other government entity, we will disclose your personal information to that government-run exchange or entity. Rest assured that these partners are only permitted to use your personal information in processing your requested quote or application and are legally obligated to maintain confidentiality.

Service Providers

We may disclose your personal information to other companies that help us to process or service any application or request you begin or submit through us. Rest assured that the companies we hire to process or service your insurance application or request are not allowed to use your personal information for their own purposes and are contractually obligated to maintain confidentiality.

Employers, Affinity Groups, and Benefits Administrators or Consultants

If you were referred to us by, or used a communication method in connection with, a current or former employer, affinity group, or other organization with which you are affiliated, we may disclose your personal information to the employer, group, organization, administrator and/or consultant. Rest assured that these parties are only ever allowed to use your information as permitted by law.

In some situations, we may be required to disclose personal data in response to lawful requests by public authorities. We may also disclose your personal information as required by law. For example, to comply with a court ordered subpoena. We may disclose or report your personal information when we believe that the disclosure is required under law. For example, to cooperate with law enforcement authorities, to protect our rights, to investigate fraud, or to otherwise respond to a government request.

If you provide us a consent to disclose, share or use your personal information in connection with a third party, we may disclose, share or use your personal information in that manner. Generally in such a situation, the platforms or entities are not allowed to use your personal information for their own purposes unless you have a direct account with such platforms, in which case your personal information would be handled by that platform or entity in accordance with their privacy policies.

Your Requests for Products

If you request to be contacted about products, request to be contacted by a licensed agent or other representative, request assistance with enrolling in a product or make any other request for someone to contact you, then our agents or representatives may contact you, or we may disclose your personal information to a third-party insurance agency, insurance agent, insurance company or other appropriate entity in order to complete your request. Any additional information that you subsequently choose to provide to a third-party entity will be governed by that entity’s privacy policy. Outside of the before mentioned exceptions, we will not sell, trade, or share your personal information with third parties.

Types of information we collect

We collect personal information while conducting business in order to process your requests and insurance application in order to serve you better.

Requesting contact or Making Contact with Us

We begin collecting personal information from you when you request a contact or make contact with us. You may request a contact through our websites by entering your name, state of residence, and phone number. You may also make direct contact by calling into a center, emailing the company or agent, or other methods of communication. A licensed agent will contact you or continue the communication and proceed to collect relevant personal information. By providing certain personal or contact information (e.g., email address, phone number, gender, date of birth) to one of our customer service representatives you provide the data needed for us to meet your needs. We take this disclosure of information seriously and use your information only for the purposes of serving you better.

Applying for Health Insurance and Other Products

Should you apply for an insurance policy or other product through one of our websites or agents, we will ask you to provide us with personal information and/or health information relating to you and any applicable family member. This information will be used by your chosen insurance company, agent, or government-run exchange/entity to process the application. If you apply through us for government health insurance subsidies or for health insurance sold through a government-run exchange, we will ask you for personal information, that we will make available to government-run sites and relevant entities responsible for processing these subsidies and/or applications.

Providing a quote and/or processing a request/application

We may use your personal information to get in touch with you to process your application, request, or quote. For example, emails will be sent to you throughout the application process for the purpose of providing updates, obtaining additional information, and completing requests. We may also use phone numbers you provide to achieve great customer service and meet your needs as they change and evolve.

Security and storage of personal information

We always protect the confidentiality and security of your personal information.

We maintain strict accepted industry standards for all physical, electronic and procedural precautions to protect your personal information.

We regularly evaluate and revise our efforts to protect personal data and make every effort to keep all personal information accurate and up to date.

Upon request HealthGuys and our entities will provide you with information about whether we store any of your personal information. If your personal information changes, or if you want to update or delete your personal information held by us, you may contact us, and we will take the appropriate action needed to meet the request.

We will retain your information for the duration that your account is active and as needed to provide you with the services that you require. We will also retain and use your information as applicable to comply with our legal obligations and adhere to our agreements.

Note that once your application has been submitted to your chosen health insurance company or any other relevant party you may have to contact the insurance company or such other party directly to update your application.

Changes to this privacy policy

We will reserve the right to update and change our policy as the need arises. An updated version will always be available to those we serve immediately when any changes occur.

If we are going to use your personal information in a manner materially different from that stated at the time of collection, we will notify you via email or phone at the method provided before any change goes into effect. It will be your choice as to whether we use your personal information in this deviated manner.

Should we make material changes to our personal information privacy procedures that do not impact personal information already stored with our company, we will provide notification in the privacy section of our websites.
